Thames Gymnastics Child Safe Policy

Thames Gymnastics is committed to providing a safe, positive, and inclusive environment for every child who participates in our classes and activities. This policy outlines how we safeguard children and protect their welfare in line with UK legal requirements and best practices.

1. Purpose of This Policy

This policy explains how we:

  • safeguard children attending Thames Gymnastics

  • prevent and respond to safeguarding concerns

  • ensure staff and volunteers understand their responsibilities

  • maintain a safe physical and emotional environment

This policy applies to all children, parents/guardians, staff, volunteers, and visitors.

2. Our Commitment to Child Safety

We are committed to:

  • creating a safe and supportive environment

  • treating every child with dignity and respect

  • taking all safeguarding concerns seriously

  • responding promptly and appropriately

  • working within UK safeguarding frameworks

3. Legal Framework

This policy is based on:

  • Children Act 1989 & 2004

  • Working Together to Safeguard Children (2018)

  • Keeping Children Safe in Out-of-School Settings Guidance (DfE)

  • UK GDPR and Data Protection Act 2018

4. Staff Responsibilities

Staff members at Thames Gymnastics:

  • Are responsible for maintaining a safe training environment.

  • Will take all reasonable steps to protect children from harm.

  • Will act promptly on any safeguarding concern raised by a child, parent, or observer.

  • Will follow proper procedures if we believe a child is at risk.

If additional staff or volunteers are added in the future, they will be required to:

  • complete safeguarding training

  • undergo an Enhanced DBS check

  • follow this policy and all safety procedures

5. Code of Conduct

All staff, volunteers, and adults interacting with children must:

  • act as positive role models

  • maintain appropriate professional boundaries

  • never use physical punishment, intimidation, or degrading language

  • avoid being alone with a child when possible

  • avoid unnecessary physical contact

Physical support may occur only when required for safety or skill instruction and will always be:

  • minimal

  • appropriate

  • explained to the child beforehand

6. Photography and Media

  • Photos or videos of children will not be taken or shared without explicit, opt-in consent from a parent or guardian.

  • Children will never be named publicly in any marketing materials.

  • Parents may withdraw consent at any time.

7. Safe Training Environment

We take reasonable steps to ensure:

  • equipment is inspected and maintained

  • mats and apparatus are appropriate for the age group

  • the training area is clean, safe, and free from hazards

  • ratios are appropriate for supervision and safety

Parents are expected to:

  • provide accurate medical information

  • follow safety instructions

  • ensure children arrive and are collected promptly

8. Responding to Concerns

If a safeguarding concern arises:

  1. It will be taken seriously and recorded.

  2. Parents/guardians will be informed unless doing so would increase risk.

  3. Concern will be escalated to local safeguarding authorities if necessary.

Emergency risk or immediate danger will be reported to:

  • Police: 999

  • Local Authority Children’s Services

9. Reporting Procedure for Parents

Parents or guardians can report concerns by emailing:

All reports will be treated with discretion and handled promptly.

10. Data Protection & Confidentiality

Safeguarding records are:

  • stored securely

  • accessed only when necessary

  • kept in line with UK GDPR

  • shared only with lawful authorities if required

11. Review of This Policy

This policy is reviewed annually or sooner if legislation or guidance changes.
